Effective Date: Jan 1st 2025 At LudovicoBooths, we understand that plans can change. This Cancellation & Refund Policy outlines the terms for cancellations, rescheduling, and refunds for all photo booth rental services. 1. Booking Confirmation A signed agreement and a non-refundable booking retainer of 25% of the total rental fee are required to reserve your event date and time. Your booking is not confirmed until the retainer has been received. 2. Cancellation by Client All cancellation requests must be submitted in writing via email. The following cancellation terms apply: • More than 7 days before the event: any payments made beyond the booking retainer will be refunded. • 5 days before the event: 50% of the total booking fee will be refunded, excluding the non-refundable retainer. • 3 days or less before the event: no refunds will be issued. The full booking amount remains due. The booking retainer is non-refundable because LudovicoBooths reserves your event date and may decline other bookings for that time. 3. Rescheduling Clients may request to reschedule their event once without penalty if notice is provided at least 2 days before the original event date. Rescheduling is subject to availability. If LudovicoBooths is unavailable on the requested new date, the original cancellation terms will apply. Any additional rescheduling requests may be subject to a $50 administrative fee. 4. Event Duration & Hourly Services Photo booth rentals are billed based on the number of hours booked. No refunds will be provided for unused hours if the event ends early, guest participation is lower than expected, or the client requests the booth to close before the scheduled end time. Additional hours requested during the event are subject to availability and will be billed at the current hourly rate. 5. Client Delays LudovicoBooths is not responsible for delays caused by venue access issues, event schedule changes, lack of power, internet connectivity issues (if required), weather conditions, or other circumstances beyond our control. Time lost due to such delays will not be refunded. 6. Cancellation by LudovicoBooths In the unlikely event that LudovicoBooths must cancel due to equipment failure, illness, emergency, severe weather, or other unforeseen circumstances, we will make reasonable efforts to provide a suitable replacement service provider, or issue a full refund of all payments received. Refunds under this section will be limited to the amount paid for the booking. 7. Force Majeure Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, acts of terrorism, public emergencies, severe weather, or venue closures. In such cases, both parties will make reasonable efforts to reschedule the event. If rescheduling is not possible, payments received (excluding the booking retainer) may be applied as a credit toward a future booking within 12 months. 8. Refund Processing Approved refunds will be processed within 7–14 business days using the original payment method whenever possible. 9.
